For the good management of your business, you must operate with these three elements if you want to experience exponential growth in your company. Strategic tasks, functional tasks, and development tasks. They should be allocated as follows: Strategic tasks MORE THAN 15%, Functional tasks LESS THAN 25%, Development tasks MORE THAN 40%.

The time dedicated to activities always falls into one of the following three categories, and the success of your business depends on your ability to balance these three areas in your schedule.

a) Development activities: The expansion of the business, increasing the number of clients, enriching the range of products or services, and other activities focused on business development. In short, what determines the long-term success of your business.

b) Functional tasks: These involve the administration, management, and operation of the business, specifically what happens within the company.

c) Strategic tasks: These activities involve seeing what is happening, assessing the challenges to be addressed, and finding new perspectives. In managing your time, you must be able to know precisely how you spend it. It’s important to analyze the use of your time across the three categories: development activities, functional activities, strategic activities.

Sometimes, after investigation, it is discovered that most leaders have spent more than 80% of their time on functional tasks, less than 15% on development activities, and less than 5% on strategic activities. You need to increase the time spent on development activities, and once you have identified them, look for those that offer long-term returns on investment. Here are some examples of development areas:

  • Prospecting new clients;
  • Following up on sales leads;
  • Developing customer service strategies to retain existing customers and encourage them to buy more;
  • Recruiting and training staff;
  • Professional development;
  • Forming strategic alliances;
  • Launching new products or services.

These development activities require more focus and energy than functional and strategic activities. The time you dedicate to development activities depends on the nature of your work. If you are in commerce, it is recommended to dedicate at least 50% of your day to development activities, whether you are on the front line as a salesperson or leading a sales team.

If you lead a team in a sector other than commerce, it is recommended to dedicate at least 40%. Set aside time each day or each week, but it is more logically a daily activity. Monitor the percentage of time spent on development activities: conduct an analysis to ensure that you are sufficiently engaged in them.

Regularly evaluating your development activities allows you to make up for any delays before the end of the week. To achieve a sufficient number of hours dedicated to development:

  • Start by setting a numerical goal in hours per day or per week;
  • Write it down and place the paper where you can see it every day (for example, a post-it on your computer screen, a note on a bulletin board—this is your home mirror). The visual reminder reinforces your good resolutions and helps you stay focused on development activities.
  • Reduce the time spent on functional tasks.
